Dates, venues, eligibility, supervision, fees, travel arrangements and participation requirements should be confirmed before registration opens.
Registration and consent
Participants should provide accurate information required for the approved activity. Where a participant is a child, appropriate parent or guardian consent and emergency-contact procedures should be completed before participation.
Safeguarding and supervision
Activities involving children or people who may need additional protection should use suitable supervision, role boundaries, reporting pathways and safer participation procedures. Staff, volunteers and partners must operate within approved roles.
Photography, stories and media consent
Photography, video, names and participant stories require an appropriate consent process. Declining optional media consent should not by itself exclude someone from an otherwise eligible programme activity.
Event risk assessment
Event plans should consider the venue, transport, accessibility, first-aid arrangements, weather or environmental conditions, participant needs, emergency contacts and activity-specific risks before delivery.
Participant code of conduct
Participants are expected to follow reasonable safety instructions, respect other people and property, avoid harassment or discrimination, protect privacy and refrain from behaviour that puts others at unreasonable risk.
Programme changes, cancellation and refunds
If a fee applies, the event registration information should state the applicable cancellation and refund terms. Where the Foundation changes or cancels an activity, participants should receive clear information about the available next steps and any approved refund process.
